Updated responsibilities, IT updates, new G-license tool and meeting notes

Our IT-landscape and services are changing at a high pace, thanks to the added capacity that our newest board member Jorian brings to the Belgian Chess community. This, in combination with the update work needed on the Interclub Manager to support a 6th division and new authentication protocols.

These changes also bring a need to reflect on the responsibilities of the different board administrators. Below is a brief overview of the latest changes we decided upon.

Updated responsibilities for RBCF administrators

The following changes in responsibilities are effective immediately:

  1. Splitting of the IT Manager position between Jorian and Ruben.
Ruben focuses on the development and support of the Interclub Manager.
Jorian assumes responsibility for all other IT topics (i.e., all IT excluding the Interclub Manager).
To maintain alignment, a weekly IT meeting is scheduled.
  2. Transfer of the Membership Management position from Luc to Steven.
Background: Reduction of tasks / workload for Luc, and follow-up of the member management migration in Odoo.
Until further notice, Steven will fill this position, but only temporarily.
  3. Transfer of the Rating Officer position from Steven to Jorian.
Following the migration to FIDE-only, the role of this position is due for review. In consultation with Luc (in his capacity as FIDE Delegate) and Jorian, we are renaming the position Rating Officer, and Steven is transferring responsibility to Jorian. Responsibilities include ensuring the correctness of player rankings in the FIDE rankings, including being responsible for registering and reporting FIDE-homologated tournaments, and serving as the point of contact for questions regarding this subject. Federation transfers are primarily handled by the FIDE Delegate (Luc).

Our Administrative Council page is updated to reflect these changes.

Updated Interclub & Club manager login

Both the Interclub Manager and the Club Manager now use the new player manager credentials for authentication. Respective interclub and club administrators have been informed of this change, and can work on the Interclub player list for the upcoming season.

This way, club administrators now use a single, unified authentication based on their email address registered in our player manager. This combination can be used for (i) the new player manager, (ii) the club manager, (iii) the interclub manager and (iv) this blog.

Questions or problems can be signaled through interclubs@frbe-kbsb-ksb.be.

New G-license tool

The new tool to request G-licenses has been developped by Jorian and is now publicly accessible. You can request your G-licenses here. A G-licence is valid for one season: 1 September 2026 to 31 December 2027. It expires automatically after that. Note: There is a delay in the creation of said licenses, between a few hours, and 3 days.

Updated players DB publishing frequency

Thanks to Jorian, our players management database is expanding with lots of automated synchronization & verification features. These expansions result in the players database being much faster up-to-date (average delay is expected around 3-4 hours), and any anomalies being detected automatically.

Meeting notes

The meeting notes of our July board meeting are available in the meeting notes section.
